How to Export Outlook Contacts to CSV/PST

Come to think of it, our contacts help us grow by letting us keep in touch with important people. No one would want to lose the contacts they’ve made over the years. Thus, even though people keep switching between emailing platforms, they try to take their important ‘Contacts’ with them. However, the technique to export contacts between different email platforms can be challenging at times.

In this post, we’re focusing on this very scenario. We’re highlighting the steps to export Outlook Contacts to PST and CSV formats so that they can be used with other email clients such as Gmail, Yahoo!, etc.

Export Outlook Contacts to CSV

CSV is a file format that most email clients understand. Thus, exporting Outlook contacts to CSV format can save you from a lot of extra effort for a number of other email clients.

Here’s what to do:

1. Launch Outlook
2. Open the Import / Export wizard
a. In Outlook 2013 and later, go to File -> Open & Export -> Import / Export
b. In Outlook 2007 and Outlook 2003, go to File -> Import and Export…
3. Highlight Export to a File and click on Next
4. Select Comma Separated Values(CSV) and click Next
5. Highlight the desired Contacts folder (there can be multiple folders depending upon how you organize your Contacts. Each folder will need to be exported separately)
6. Click Next
7. Use the ‘Browse…’ button to select a destination and file name for the exported Contacts file
8. Click Next and then click on Finish

This will export all your Outlook contacts in a CSV file and save it at the destination you specified. You can open it up and edit any contact you wish to. This CSV file can then be imported into other email clients such as Mac OS X Mail, Thunderbird, Gmail, etc. For your convenience, we’ve listed down the steps to import the CSV file into Gmail in the next section. Follow the steps below:

1. Sign into your Gmail account
2. On the upper left corner, click on the drop-down next to ‘Gmail’
3. Select Contacts from the drop-down
4. Click on the More button and select Import
5. Click on Choose File and when the dialog box opens, navigate to the CSV file you wish to import and select it
6. Click on Open and when you’re back to the import screen, click on Import

These steps should import your Outlook contacts into Gmail, but they won’t be merged with your existing Gmail Contacts automatically. They will, instead, be saved in a new group where you’ll be able to merge and delete the duplicates.

Note: If things get complicated, remove imported contacts from Gmail and perform the process again. While exporting Contacts to CSV, use the “map fields” function to make things easier. You will see this option on the last screen of the Import / Export wizard. This option lets you customize individual fields of your Contacts’ information. For example, if none of your contacts use the Suffix field, you can select it and drag to the left side of the window to remove it from the CSV file.

Export Outlook Contacts to PST

While exporting Contacts to CSV, you may notice another choice of format available. This choice is ‘PST’ and it is most useful if you wish to export your Outlook Contacts from one machine to another, one Outlook version to another, or from Windows Outlook to Mac Outlook. Exporting Outlook contacts to PST can also help you import them into Office 365 or Live Exchange.

Follow the steps below:

1. Launch Outlook
2. Open the Import / Export wizard
a. In Outlook 2013 and later, go to File -> Open & Export -> Import / Export
b. In Outlook 2007 and Outlook 2003, go to File -> Import and Export…
3. Highlight Export to a File and click Next
4. Select Outlook Data File (.pst) and click Next
5. Highlight the desired Contacts folder (there can be multiple folders depending upon how you organize your Contacts. Each folder will need to be exported separately)
6. Click on Next
7. Use the ‘Browse…’ button to select a destination and file name for the exported Contacts file
8. Click Next and then click Finish

The above steps will work perfectly fine if you use Outlook in the standalone mode. If, however, you use it with Exchange, then your Outlook Contacts and all other mailbox data will be stored automatically in an OST file. Unlike PST, OST cannot be imported directly into other email clients. Thus, to carry your OST file data to another machine, another email client, or another version of Outlook, you’ll need to convert it into the PST format.
