This problem may trigger due to one or more reasons associated with Outlook client, profile, or data file (Offline Storage Table or OST).<\/p><p class=\"wp-block-paragraph\">Although the mailbox is synchronized and changes can be seen in the Outlook Web App (OWA) or Outlook Web Access and Online Mode, Outlook does not reflect the changes in Cached Mode (also referred to as Offline Mode).<\/p><p class=\"wp-block-paragraph\">In this blog, we have discussed the reasons for the &lsquo;Outlook in Cached Mode is not updating folders from Exchange&rsquo; problem and shared some solutions to resolve the issue.<\/p><h2 class=\"wp-block-heading\" id=\"why-does-outlook-stop-updating-folders-in-cached-exchange-mode?\">Why Does Outlook Stop Updating Folders in Cached Exchange Mode?<\/h2><p class=\"wp-block-paragraph\">MS Outlook utilizes <a href=\"https:\/\/www.stellarinfo.com\/article\/cached-exchange-mode-in-outlook.php\"><strong>Cached Exchange Mode<\/strong><\/a> to save a local replica of your mailbox data in an Offline Storage File &ndash; OST. This lets you to access the data without internet or server connectivity. However, there might be some situations where such local cache synchronization fails due to multiple internal\/external factors, leading to problems in accessing your mailbox items.<\/p><p class=\"wp-block-paragraph\">The problem may also occur when the messages are stuck in the incoming item processing pipeline due to unexpected conflicts or corrupt data. The<em>&nbsp;pipeline<\/em>&nbsp;feature was first introduced in Outlook 2007 that uses the<strong>&nbsp;hidden ItemProcSearch<\/strong>&nbsp;folder in your mailbox to process messages before showing them in your Outlook&nbsp;<strong>Inbox<\/strong>.<\/p><p class=\"wp-block-paragraph\">Refer to the table below to understand the causes of this issue:<\/p><figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Cause<\/strong><\/td><td><strong>What it means<\/strong><\/td><\/tr><tr><td><strong>Work Offline mode is enabled<\/strong><\/td><td>Outlook has been manually disconnected from the server, which is the most common cause and also the easiest to fix.<\/td><\/tr><tr><td><strong>Incorrect email sort order<\/strong><\/td><td>Emails are updating correctly but may appear at the bottom of the mailbox instead of the top.<\/td><\/tr><tr><td><strong>ItemProcSearch pipeline stuck<\/strong><\/td><td>The incoming mail processing pipeline is stuck, preventing new emails from appearing until it is cleared using the \/cleanips switch.<\/td><\/tr><tr><td><strong>Corrupted Outlook cache (RoamCache)<\/strong><\/td><td>Damaged or outdated cache files interfere with Outlook&rsquo;s synchronization process.<\/td><\/tr><tr><td><strong>Oversized OST file<\/strong><\/td><td>An OST file larger than <a href=\"https:\/\/learn.microsoft.com\/en-us\/outlook\/troubleshoot\/performance\/outlook-performance-issues-if-too-many-items-or-folders\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">20&ndash;25 GB<\/a> can slow synchronization and cause Outlook to miss mailbox updates. If your network connection is inconsistent or slow, then restart your router or connect with your internet service provider. If it shows &ldquo;Trying to connect&hellip;,&rdquo; then it indicates that the Exchange Server is temporarily unavailable. If you want to fully disable Cached Exchange Mode instead, see our guide on <a href=\"https:\/\/www.stellarinfo.com\/blog\/turn-off-cached-exchange-mode-in-outlook\/\">how to turn off Cached Exchange Mode in Outlook<\/a>.<\/p>\n<\/blockquote><h3 class=\"wp-block-heading\"><strong>Method 2 &ndash; Check the Email Sort Order<\/strong><\/h3><p class=\"wp-block-paragraph\">At times, your Outlook emails are syncing correctly, but appear at the bottom of the folder instead of the top because the folder is sorted by &ldquo;Oldest&rdquo; on top. Due to this, it seems that Outlook is not updating the emails. You can set the order to <strong>By Date<\/strong> and <strong>Newest<\/strong>. If this process gets stuck, then new emails may stop appearing even though they have already been delivered to the mail server. You can reset the processing pipeline by using the cleanips switch. Here&rsquo;s how to do so:<\/p><ul start=\"1\" class=\"wp-block-list\">\n<li>Close Outlook.<\/li>\n\n\n\n<li>Press&nbsp;<strong>Windows + R&nbsp;<\/strong>keys.<\/li>\n\n\n\n<li>Type&nbsp;<strong>Outlook.exe \/cleanips<\/strong>&nbsp;and press the&nbsp;<strong>Enter<\/strong>&nbsp;key or click&nbsp;<strong>OK<\/strong>.<\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"399\" height=\"206\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2022\/08\/Run-Window.png\" alt=\"Type Outlook.exe \/cleanips\" class=\"wp-image-192331 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2022\/08\/Run-Window.png 399w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2022\/08\/Run-Window-300x155.png 300w\" sizes=\"auto, (max-width: 399px) 100vw, 399px\" \/><\/figure><ul start=\"1\" class=\"wp-block-list\">\n<li>Outlook will launch and automatically rebuild the ItemProcSearch processing folder.<\/li>\n\n\n\n<li>Wait until the synchronization process is complete. If your mailbox is large, then this process may take a few minutes to update.<\/li>\n\n\n\n<li>Check your mailbox, new emails are now appearing in the Inbox.<\/li>\n<\/ul><blockquote class=\"note_alert\">\n<p class=\"wp-block-paragraph\"><strong>Note:<\/strong> <em>The \/cleanips switch is safe to use. It only resets the mail processing pipeline and does not delete emails, modify mailbox data, or damage the OST file.<\/em><\/p>\n<\/blockquote><h3 class=\"wp-block-heading\"><strong>Method 4 &ndash; Clear Offline Items and Force Resynchronization<\/strong><\/h3><p class=\"wp-block-paragraph\">If syncing issues affect only one folder, then you can remove its offline items and force Outlook to download a fresh copy from the server. This is useful when folders, such as Inbox subfolders, shared mailboxes, or custom folders, stop updating correctly. Here&rsquo;s how:<\/p><blockquote class=\"note_alert\">\n<p class=\"wp-block-paragraph\"><strong>Note:<\/strong> <em>This method clears the locally stored &ndash; offline &ndash; cache for the selected folder from your local OST file. If these files become damaged or corrupted, your email client may slow down or\/and also prevent syncing of emails properly. You can resolve such an issue by clearing this folder. It removes the faulty data and allows Outlook to rebuild fresh cache files.
