This means you can store emails, objects, attachments, etc. until you reach the offered storage limit. Some email services offer additional storage for a fee. But if you don&rsquo;t want to pay, you will have to delete certain unimportant emails and stay within the quota. Another option to circumvent this quota limitation is to archive your emails. When you do this, the email server stores your emails in a different place and they don&rsquo;t come under the quota. Typically, these archived emails are those that will be rarely used, and this is why they are not counted towards the storage limit.<\/p><p>But sometimes, in Lotus Notes, the quota will not update immediately after your archive emails. Even after a refresh, the archived emails are mistaken for database quota. This is a critical error because it can prevent you from sending and receiving emails.<\/p><p>In this article, we will explore some solutions to address this problem.<\/p><h2 class=\"wp-block-heading\" id=\"configuration-settings\">Configuration Settings<\/h2><p>A primary cause of this error is the configuration settings of your Lotus Notes. When the option called quotas enforcement is set to its default value of <strong>&ldquo;Check file size when extending the file&rdquo;<\/strong>, Notes can prevent the quota from getting refreshed.<\/p><p>The solution is to change the configuration setting. To do this,<\/p><ul class=\"wp-block-list\">\n<li>Head to the admin panel of your Lotus Notes.<\/li>\n\n\n\n<li>Navigate to a tab called Transactional Logging.<\/li>\n\n\n\n<li>Under that, look for a heading called Quotas.<\/li>\n\n\n\n<li>In that, you will see an option called <strong>&ldquo;Quotas enforcement.&rdquo; <\/strong>Set its value to check the space used in the file when adding a note.<\/li>\n<\/ul><p>This should fix the error in most cases.<\/p><h2 class=\"wp-block-heading\" id=\"keep-the-database-size-to-optimal-levels\">Keep the Database Size to Optimal Levels<\/h2><p>Another possible cause is if your database contains many duplicate emails or unnecessary attachments that clog up the space. In other words, poor database management can be the cause of this error. It&rsquo;s always a good rule to check the size of your database to ensure that it&rsquo;s at optimal levels. Some possible actions include:<\/p><ul class=\"wp-block-list\">\n<li>Check if your inbox has many duplicate emails and remove them.<\/li>\n\n\n\n<li>Avoid storing emails with large attachments. Consider downloading and saving the attachments to your local device or cloud storage, and delete the email.<\/li>\n\n\n\n<li>Check your trash and make sure it doesn&rsquo;t contain large emails that were deleted from your inbox.<\/li>\n\n\n\n<li>Look at the drafts folder to see if you can send or discard them.<\/li>\n<\/ul><p>Staying on top of your emails and the storage space they occupy is essential to ensure that you never reach the quota.<\/p><h2 class=\"wp-block-heading\" id=\"move-to-microsoft-outlook\">Move to Microsoft Outlook<\/h2><p>Many organizations today are increasingly migrating to Outlook because of the advanced features available in it. However, one impediment in <a href=\"https:\/\/www.stellarinfo.com\/article\/convert-nsf-to-outlook.php\" target=\"_blank\" rel=\"noreferrer noopener\">migrating from Notes to Outlook<\/a> is the difference in data formats. To elaborate, Notes stores all your emails, attachments, and other data in a format called NSF. On the other hand, Outlook uses a format called<a href=\"https:\/\/www.stellarinfo.com\/article\/ost-vs-pst.php\" target=\"_blank\" rel=\"noreferrer noopener\"> Outlook data file (OST or PST)<\/a> to store all your content. Unfortunately, both these formats are not compatible with each other, so you can&rsquo;t directly move the contents of your NSF to the PST.<\/p><p>Moving the files between the two formats can be done manually or through software. Here are the steps to move the data manually.<\/p><p>There are two stages involved in this migration. In the first stage, you convert data from NSF to CSV, and in the second stage, you import the CSV to Outlook.<\/p><p>The steps involved in the first stage are:<\/p><ul class=\"wp-block-list\">\n<li>Open Lotus Notes<\/li>\n\n\n\n<li>Navigate to <strong>File &gt; Open &gt; Lotus Notes Application<\/strong>.<\/li>\n\n\n\n<li>Navigate to the NSF file you want to open and select it in the <strong>File <\/strong>dialog box.<\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"254\" height=\"356\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-44.png\" alt=\"Open Lotus Notes client and click on file for export option\" class=\"wp-image-139364 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-44.png 254w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-44-214x300.png 214w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-44-150x210.png 150w\" sizes=\"auto, (max-width: 254px) 100vw, 254px\" \/><\/figure><ul class=\"wp-block-list\">\n<li>Next, navigate to <strong>File &gt; Export<\/strong>. This will open the <strong>Export Dialog<\/strong> box.<\/li>\n\n\n\n<li>In this box, select the place where you want to save the CSV file. Also, choose the <strong>&ldquo;Save As&rdquo;<\/strong> type as <strong>Comma Separated Value<\/strong>.<\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"300\" height=\"283\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-45.png\" alt=\"Select CSV option to export the NSF data\" class=\"wp-image-139365 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-45.png 300w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-45-150x142.png 150w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/figure><ul class=\"wp-block-list\">\n<li>When you click the <strong>Export<\/strong> button, a dialog box will open. In this, you can select whether you want to export some or all the documents and the character set.<\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"270\" height=\"265\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-46.png\" alt=\"Choose the desired options \" class=\"wp-image-139366 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-46.png 270w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-46-150x147.png 150w\" sizes=\"auto, (max-width: 270px) 100vw, 270px\" \/><\/figure><ul class=\"wp-block-list\">\n<li>After making your choices, Notes will export your data to a CSV file and will save it in your chosen location.<\/li>\n\n\n\n<li>Click on Finish<\/li>\n<\/ul><p>Now, you will have to import the CSV file to your Outlook profile. To that,<\/p><ul class=\"wp-block-list\">\n<li>Open Outlook.<\/li>\n\n\n\n<li>Navigate to <strong>File &gt; Open &amp; Export &gt; Import\/Export<\/strong>.<\/li>\n\n\n\n<li>This opens the <strong>Import\/Export <\/strong>dialog box. Select the <strong>&ldquo;Import from another program or file&rdquo; <\/strong>option.<\/li>\n\n\n\n<li>Select <strong>Comma Separated Values<\/strong> and click <strong>Next<\/strong>.<\/li>\n\n\n\n<li>Browse and select the CSV file stored earlier.<\/li>\n\n\n\n<li>Click <strong>Finish<\/strong>.<\/li>\n<\/ul><p>Since this is cumbersome, consider using the <a href=\"https:\/\/www.stellarinfo.com\/nsf-pst-converter.php\" target=\"_blank\" rel=\"noreferrer noopener\">Stellar Converter for NSF.<\/a> Here are the steps to use this tool.<\/p><ul class=\"wp-block-list\">\n<li>Download and install the<strong> Stellar Converter for NSF.<\/strong><\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"645\" height=\"421\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-47.png\" alt=\"Stellar Converter for NSF front screen\" class=\"wp-image-139378 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-47.png 645w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-47-300x196.png 300w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-47-150x98.png 150w\" sizes=\"auto, (max-width: 645px) 100vw, 645px\" \/><\/figure><ul class=\"wp-block-list\">\n<li>Open the tool and <strong>&ldquo;Find&rdquo;<\/strong> or &ldquo;<strong>Browse&rdquo;<\/strong> for the NSF file from which you want to export data.<\/li>\n\n\n\n<li>The tool will extract the data and will display them for you.<\/li>\n\n\n\n<li>Choose the data you want to migrate.<\/li>\n<\/ul><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"590\" height=\"421\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-48.png\" alt=\"Preview option after NSF data conversion\" class=\"wp-image-139379 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-48.png 590w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-48-300x214.png 300w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2023\/06\/image-48-150x107.png 150w\" sizes=\"auto, (max-width: 590px) 100vw, 590px\" \/><\/figure><ul class=\"wp-block-list\">\n<li>Click on &ldquo;<strong>Save Converted file&rdquo;<\/strong> to save the mailbox data <\/li>\n\n\n\n<li>Provide the destination format and location. As you can see this process is complex and error-prone, even a single misstep can cause data corruption and loss.
