Let&rsquo;s see some of the most common factors that would hinder or prolong the migration and cause issues.<\/p><ul class=\"wp-block-list\">\n<li>During migration if the mailbox size exceeds the license size limit of the allocated license or there wasn&rsquo;t enough time for the online archive to start, the move request will fail or just pause until it times out during the ingestion of data. Although you can allow large message sizes on the local Exchange Server, there are still limits on the Exchange Online.<\/li>\n\n\n\n<li>Having very large mailbox will cause degradation of the performance of network, internet connectivity, server&rsquo;s performance, and create more stress on the storage. Pushing a lot of data might also start the Exchange Web Services (EWS) throttling where the policies would slow down the ingestion of data to protect bandwidth.<\/li>\n\n\n\n<li>There might be issues with missing data due to interruption of migration. If you have large data from a number of years, there might be an issue with certain compliance and regulatory bodies.<\/li>\n<\/ul><p>Such issues may have a huge impact on the business and operations as well as the administrative effort of the migration.<\/p><h2 class=\"wp-block-heading\" id=\"what-are-the-mailbox-size-limits-in-office-365-(microsoft-365)?\">What are the Mailbox Size Limits in Office 365 (Microsoft 365)?<\/h2><p>On a local Exchange Server, you can increase the mailbox limits depending on the business needs. But in Office 365, mailbox size limits are imposed on the respective licenses. Let&rsquo;s take a look at some common plans used and their mailbox size limits.<\/p><blockquote class=\"note_alert\">\n<p><strong>Note: <\/strong>The Exchange Online plan can be purchased standalone or as a bundle of licenses, such as Office 365 Business Basic\/Standard, Premium, or the Office 365 Enterprise license.<\/p>\n<\/blockquote><p><strong>Exchange Online Plan 1<\/strong><\/p><p>This plan is available as standalone or included with Office 365 Business Basic and Standard. It has a 50 GB mailbox size limit per user. Additionally, it provides an online archive mailbox with the limit of 50 GB as well.<\/p><p><strong>Exchange Online Plan 2<\/strong><\/p><p>This plan is available as standalone and also included with the Office 365 Enterprise plans. It provides a 100 GB mailbox per user. It also offers a standard 100 GB Online Archive mailbox with the possibility to set the auto-expanding archive that allows unlimited storage on the Online Archive. The auto-expanding feature needs to be set manually by the administrator.<\/p><h2 class=\"wp-block-heading\" id=\"how-to-increase-the-mailbox-size-limits-in-office-365?\">How to Increase the Mailbox Size Limits in Office 365?<\/h2><p>Increasing the mailbox size limits, in the case of auto-expanding feature, can be done by the administrator\/owner of the Office 365 tenant. But for other plans, you should look into the optimization of licenses and assignment to the users.<\/p><p>Upgrading or assigning the right license should be an exercise before migration of data and purchasing the licenses. Licenses with Microsoft can be purchased annually or monthly with an annual commitment. So, you should decide the subscriptions beforehand, depending on the user needs and the mailbox sizes.<\/p><p>Here are the ways to increase the mailbox size in Office 365.<\/p><h3 class=\"wp-block-heading\">Enable the Online Archive<\/h3><p>Online archive for Exchange Online Plan 1 and Exchange Online Plan 2 is not enabled by default. You can follow the below steps to enable it:<\/p><ul class=\"wp-block-list\">\n<li>Open the Microsoft 365 <strong>Exchange Admin Center<\/strong>.<\/li>\n\n\n\n<li>Navigate to the user&rsquo;s mailbox and click on the <strong>Others<\/strong> tab.<\/li>\n\n\n\n<li>Then, click on <strong>Manage<\/strong> <strong>mailbox<\/strong> <strong>archive<\/strong> to create the mailbox archive for the user.<\/li>\n<\/ul><p>The next step is to create the retention tags (which are the rules for emails). In the <a href=\"https:\/\/www.stellarinfo.com\/blog\/how-to-access-exchange-admin-center\/\">Exchange Admin Center<\/a>, you can create the retention tag in the Compliance management to create the Policy Tag (similar to the below).<\/p><ul class=\"wp-block-list\">\n<li>Move mail to archive after 2 years<ul><li>Action Move to Archive<\/li><\/ul><ul><li>Type: Default Policy Tag (DPT)<\/li><\/ul>\n<ul class=\"wp-block-list\">\n<li>Retention Period: 730 days<\/li>\n<\/ul>\n<\/li>\n<\/ul><p>Some clients with specific compliance and regulatory requirements can also include a tag to delete the data older than a specific year (see the below example).<\/p><ul class=\"wp-block-list\">\n<li>Delete emails after 5 years<ul><li>Action: Delete and allow recovery<\/li><\/ul>\n<ul class=\"wp-block-list\">\n<li>Retention Period: 1825 days<\/li>\n<\/ul>\n<\/li>\n<\/ul><p>This will only create the tag.<\/p><p>Now, you can create and assign the policy.<\/p><p>For creating a policy, go to the Compliance management, add the name of the policy and then add the tag to it.<\/p><p>For assigning the policy to the user,<\/p><ul class=\"wp-block-list\">\n<li>Open the Office 365 Exchange Admin Center.<\/li>\n\n\n\n<li>Click on the mailbox to apply the policy on and click on the <strong>Mailbox<\/strong> tab.<\/li>\n\n\n\n<li>Click on the <strong>Manage mailbox policies<\/strong> under <strong>Retention<\/strong> <strong>policy<\/strong>.<\/li>\n\n\n\n<li>From the Retention policy dropdown, select the policy to apply.<\/li>\n<\/ul><h3 class=\"wp-block-heading\">Enable Auto-Expanding Archive<\/h3><p>To enable the auto-expanding archive for unlimited storage on the archive mailbox, you can use the following PowerShell command while connected to the Exchange Online.<\/p><pre class=\"wp-block-code command_container\"><code>Set-OrganizationConfig -AutoExpandingArchive<\/code><\/pre><h3 class=\"wp-block-heading\">Increase the Message Size Limit<\/h3><p>If you are migrating large items, you need to consider increasing the message size limit. Use the following command:<\/p><pre class=\"wp-block-code command_container\"><code>Set-TransportConfig -MaxSendSize 150MB -MaxReceiveSize 150MB<\/code><\/pre><pre class=\"wp-block-code command_container\"><code>Set-Mailbox user@domain.com -MaxSendSize 150MB -MaxReceiveSize 150MB<\/code><\/pre><h2 class=\"wp-block-heading\" id=\"overcoming-exchange-migration-challenges-with-advanced-tools\">Overcoming Exchange Migration Challenges with Advanced Tools<\/h2><p>Using the native migration tools often present challenges in large, complex deployments. &nbsp;When working with hybrid setup, you may face challenges, such as throttling, handling of corrupted items, delays in migration, and limited control over the migration process.<\/p><p>Specialized <a href=\"https:\/\/www.stellarinfo.com\/exchange-migration.php\">Exchange migration tool<\/a>, such as Stellar Migrator for Exchange, can help overcome such challenges and provide greater control over the migration process.
