When Outlook reaches the mailbox size limit, it starts displaying warning messages, such as &lsquo;Your Mailbox is almost Full&rsquo; or &lsquo;Quota Exceeded.&rsquo;<\/p><p>In such cases, users can delete emails and large attachments or archive the older emails to a PST file. Deleting or archiving email items reduces the Outlook data file size and removes the &lsquo;Outlook mailbox full&rsquo; warning message. However, it&rsquo;s been observed that some users continue to see the Outlook mailbox is full message even after deleting the emails.<\/p><p>If you face this error even after deleting and archiving the emails, follow the methods discussed below to resolve it.<\/p><p><strong>Caution: <\/strong>Back up your mail items to PST via Outlook Import Export wizard before proceeding.<\/p><h2 class=\"wp-block-heading\" id=\"method-1:-empty-the-deleted-items-or-trash-folder\"><strong>Method 1: Empty the Deleted Items or Trash Folder<\/strong><\/h2><p>When you delete emails from your Outlook account, they are moved to the &lsquo;<strong>Deleted Items<\/strong>&lsquo; or &lsquo;<strong>Trash<\/strong>&lsquo; folder. Therefore, to manage the mailbox size, you need to delete the emails from your mailbox permanently. For this, you can configure Outlook to empty the &lsquo;<strong>Deleted Items<\/strong>&lsquo; or &lsquo;<strong>Trash<\/strong>&lsquo; folder automatically after some time or you may manually empty the &lsquo;<strong>Deleted Items<\/strong>&lsquo; or &lsquo;<strong>Trash.<\/strong>&lsquo;<\/p><p><strong>Note: <\/strong>If you have configured Exchange, Outlook.com, or Office 365 account, Outlook displays the &lsquo;<strong>Deleted Items<\/strong>&lsquo; folder. However, if you have configured Gmail or any other email account, the folder is named &lsquo;<strong>Trash<\/strong>&lsquo;. &nbsp;<\/p><p>The steps to permanently delete emails and reduce mailbox size are as follows:<\/p><ul class=\"wp-block-list\"><li>In Outlook, right-click on the <strong>&lsquo;Deleted Items&rsquo;<\/strong>&nbsp;or <strong>&lsquo;Trash&rsquo;<\/strong>&nbsp;folder and choose <strong>&lsquo;Empty Folder<\/strong>.&rsquo;<\/li><\/ul><figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"205\" height=\"246\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2021\/08\/empty-deleted-items-folder-2.jpg\" alt=\"Empty Deleted Items Folder\" class=\"wp-image-85089 apply-gradient-on-post-images\"><\/figure><ul class=\"wp-block-list\"><li>Confirm if prompted.<\/li><\/ul><p>This will empty the <strong>&lsquo;Deleted Items&rsquo;<\/strong>&nbsp;folder and permanently remove the mail items. You can now check your mailbox size. The Outlook mailbox full message should not appear.<\/p><p>You can configure the settings to automate this process by following these steps:<\/p><ul class=\"wp-block-list\"><li>Navigate to <strong>File &gt; Options<\/strong>&nbsp;and then click &lsquo;<strong>Advanced.<\/strong>&lsquo;<\/li><\/ul><ul class=\"wp-block-list\"><li>Click &lsquo;<strong>Empty the Deleted Items folder upon exiting<\/strong>&lsquo; checkbox under &lsquo;<strong>Outlook Start and Exit.<\/strong>&lsquo;<\/li><\/ul><figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"378\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2021\/08\/empty-folder-3.png\" alt=\"Empty Folder\" class=\"wp-image-85090 apply-gradient-on-post-images\" srcset=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2021\/08\/empty-folder-3.png 650w, https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2021\/08\/empty-folder-3-300x174.png 300w\" sizes=\"auto, (max-width: 650px) 100vw, 650px\" \/><\/figure><ul class=\"wp-block-list\"><li>Scroll down the &lsquo;<strong>Advanced<\/strong>&lsquo; options screen and click the &lsquo;<strong>Prompt for confirmation before permanently deleting items<\/strong>&lsquo; checkbox. &nbsp;<\/li><\/ul><p>From now onwards, Outlook will automatically prompt you, when you exit Outlook, to empty the &lsquo;<strong>Deleted Items<\/strong>&lsquo; folder.<\/p><h2 class=\"wp-block-heading\" id=\"method-2:-clean-up-mailbox\"><strong>Method 2: Clean Up Mailbox<\/strong><\/h2><p>You may also clean up your mailbox to manage mailbox size and fix the Outlook mailbox full error. You can use the Mailbox Cleanup option to check the mailbox size, find\/filter emails older than a specific date or based on size, Archive mail items, view Deleted Items folder size, and empty or delete Deleted Items and Conflict folders.<\/p><p>The steps are as follows:<\/p><ul class=\"wp-block-list\"><li>Navigate to <strong>File &gt; Tools<\/strong>&nbsp;and select &lsquo;<strong>Mailbox Cleanup<\/strong>.&rsquo;<\/li><\/ul><figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"286\" height=\"300\" src=\"https:\/\/www.stellarinfo.com\/blog\/wp-content\/uploads\/2021\/08\/find-delete-large-emails-4.png\" alt=\"Find Delete Large Emails\" class=\"wp-image-85091 apply-gradient-on-post-images\"><\/figure><ul class=\"wp-block-list\"><li>You may use the <strong>AutoArchive<\/strong>&nbsp;option to automatically move old emails to an archive (.pst), which you can open and access locally.
