In the updated version of Outlook for Mac, you can archive messages in any of the email account that you have connected to Outlook for Mac 2019. The accounts include Exchange (version 2016 and later), Outlook.com, Microsoft 365, Hotmail, iCloud, Google, and Yahoo!

    To archive messages, follow the steps given below:

    • Choose one or more messages in your folder to archive.
    • On the ribbon, choose Archive.

    Note: If you don’t see the Archive button and you’re using the newest Outlook for Mac interface, you may need to customize your toolbar.

    • As soon as you choose Archive, messages are immediately moved to the specified archive folder.
    • In case, any message is moved to Archive accidentally, go to the archive folder and move the message back to your Inbox.

    Note: In Windows, for Microsoft 365, Exchange, Exchange Online, and Outlook.com accounts, an Archive folder for your accounts already exists.     If you receive this prompt, then choose one of the following:

    Choose another folder or Continue to create a folder.

    Continue: When you have clicked ‘Continue’, a new folder will appear in your folder list for the email account you want to create ‘archive’.

    To create ‘archive folder’ for other accounts, you will have to repeat this process for each of your email accounts. The folder will be called Archive for Microsoft 365, Outlook.com, Hotmail, iCloud, Google, and Yahoo! accounts. The archive folder for Gmail is called All Mail.
